Information for session chairs
The role as session chair
Your responsibilities as session chair are:
- Please read the papers in your session ahead of time so that you will be familiar with the material to be presented. It would be helpful if you were prepared with an initial question for each author, during the question-and-answer session at the end of each talk.
- Attend the session room at least 10 minutes before it starts to make sure that projection equipment is in order, and that all the presenters are present.
- During the session, you will need to be firm in adhering to the time schedule allocated to each talk. For a 25-minute presentation, we have asked presenters to speak for 15 minutes, allowing 6 minutes for questions/discussion, and 2 minutes for the start and end swap over. We will provide warning cards in each room, so that you can give each speaker a warning with 5 minutes to go, again at 2 minutes, 1 and 0 minutes. However, regardless of the length of the talk, the entire presentation must stop promptly after 25 minutes, when the next speaker should start.
- If for some reason, a speaker does not show up for their presentation, do not move other presentations forward into the missing speaker's time slot. Simply call a brief break or continue discussion about an earlier talk until it is time (as scheduled) for the next presentation in your session.

Presentation Venue
There is a PDF file below for each of the rooms we are using for conference presentations, plus a plan of the whole site. Each session room will be equipped with a data projector and a laptop loaded with Windows XP, Office 2003, and Acrobat Reader, they also have the provision for USB, CD & DVD. There is also a microphone, and a projection screen. There will also be wired internet access at the podium in each session room. There is also a facility for presenters to plug in their own laptop / MAC. Additionally, the Balbeggie Room will also have an overhead projector.
Please visit your session room beforehand to make ensure you are familiar with the layout and projection system. At the latest you should visit in the break immediately before your presentation to load up any files and test them, and also to meet with the presenters.
